Duties and Responsibilities:

  • Travel & Protocol services management: Arrange bookings/tickets for all travel, within the country and internationally with WFP liabilities insuring clearance of invoices is done in timely manner; travel claims, visa requests, support to new incoming staff. Cross checking that DSA calculation is made and ensure that is it paid on time. Ensure all MSLS are paid on time. Supporting and ensuring that Security clearance is made prior to travelling. Lead on High level missions visit (Management,Donors, Government)and ensure the mission is delivered accordingly. Support in Hotel bookings.
  • Asset Management: Regularly review the conditions of assets,Ensure that Yearly Physical count exercise is done timely, Ensure that all transaction /movements of assets are recorded in GEMS, controlling all WFP assets without the organization and outside the organization,ensure tracking and completion of all incident reported and timely support all request for Loan of WFP Property.
  • Facility Management: ensure that all staff are working in better condition interns of spacing, lighting, safety.
  • Fleeting Management; Ensure that fuel is captured on time on FMS, Driver control and rotations of field mission, Driver supporting.
  • Procurement: Ensure that all requests are made on time once received on GSMT, ensure that all internal procedures on procurement are followed accordingly. Ensure that MPO procedures, SES/GRN is done according to the internal controls and recording in WINGS.
  • Other administration support: Ensure that all records filing system are updated regularly, ensure that confidentiality of sensitive information by adhering to strict privacy policies and implementing secure filing systems.
  • Lead on the implementation of Area office finance and administration management operations, in order to support the timely and effective supply of food assistance and comply with WFP standards and processes.
  • Identify and develop improvements to policies, systems and procedures to improve the efficiency and effectiveness of operations, minimize risk, and ensure services are aligned with business objectives
  • Contribute to preparedness actions such as risk analysis and contingency planning and make recommendations. Periodically monitor the management of risks and report on any action taken.
  • Manage and deliver administrative services, negotiating contracts and following standard processes to provide cost-effective, quality and timely services to WFP staff
